You're Not Spam: Check Yourself

If you are not doing any follow-up on your email delivery, you would probably be shocked to learn how often your emails and newsletters fail to end up in the inboxes of your intended recipients. There are a number of causes- bounced emails (temporary or permanent), incorrectly entered emails, emails that end up in the spam filter, blacklisting of your emails, etc. In order to prevent these things from happening, there are a number of things that you can do. Obviously, running a spam check and an email blacklist check will alert you if those things are taking place, but you still must take the steps yourself to remedy what caused the issue in the first place.

While your negotiations with a list manager might very well remove you from the list (of blacklisted senders), you need to be aware of how you ended up there, to avoid being blacklisted again. Check your email delivery stats. Do you have a large number of bounced emails? If so, remove them from your list. If your business needs are such that you send high volumes of email, or use continuous sending, you should ask to be whitelisted by major ISPs. Likewise, sending large volumes of emails to non-whitelisted ISPs or corporate networks can get you blacklisted quite quickly.

Spam is another label that you want to avoid. Rented lists are the number one cause of spam reports, so don't even consider that as an option. Make sure that you are using a reputable and safe email provider. Online accounts that are free and easy to use are popular with the less scrupulous emailers (think spammers and hackers), and are not good options for a business to use. Your emails could be marked as spam or blacklisted by association. On a more obvious level, make sure that your emails don't look like spam to ISPs, email providers, and email recipients. Make sure your name is obvious, and that you're using the company name, not your personal name, unless it is one that everyone on your list would recogonize. Make sure your titles will entice readers to open them, but won't appear to be spam. Avoiding multiple exclaimation points and words like "free" and "offer" are good ways to do that.

Ultimately, even if you regularly run a spam check and an email blacklist check and do everything you can to make sure that your emails land exactly where you want them to, you probably won't have a 100% delivery rate...but you might get close!
